Axia:
A Greek word that means capable, worthy and valued.
All in one:
An office machine which incorporates the functionality of multiple devices in one so as to have a smaller footprint or to provide centralised document production/distribution. They offer copy, print and scan functions with optional fax machine capabilities. They are also referred to as multifunction printers and multifunction devices.
A4 multifunction laser printer:
A laser printer that can print to paper with a maximum size of A4.
A3 multifunction laser printer:
A laser printer that can print to paper with a maximum size of A3.
Colour laser printers:
A computer printer that uses coloured toner (dry ink), typically cyan, yellow, magenta & black (CYMK) to print documents in colour.
Color:
The American spelling of “colour”.
Cost of toner & user fitted consumables:
The cost to print/copy a page based on the cost of replacement toner cartridges & replacement user fitted consumables divided by the number of pages the manufacturer estimates the toner cartridge and consumables will produce based on the coverage determined by the manufacturer.
Compatible toner:
Toner cartridges manufactured by other than the manufacturer of the laser printer or photocopier. Also known as generic toner cartridges or remanufactured toner cartridges.
Corrective maintenance:
Repair of office photocopier, multifunction printer, laser printer or fax machine when it ceases to operate to specification.
CYMK:
A term used to describe colour laser toner cartridges, viz. cyan, yellow, magenta & black.
A sound recording device most commonly used to record speech for later playback or to be typed into print.
Document management:
Software which provides easy access to electronically archived documents.
DPI:
Dots per inch in a printed image to measure printing resolution.
Duplex:
A feature of photocopiers, laser printers and multifunction printers that allows the automatic copying/printing of a sheet of paper on both sides. Duplex printers work by using a duplexing unit that reverses a piece of paper after the first side has been printed. Often, on photocopiers and multifunction printers, this is combined with a Reversing Automatic Document Feeder (RADF) to allow for duplex scanning.
Facsimile machine:
A duplicator that transmits the copy by wire or radio.
FTP:
File Transfer Protocol is a network protocol used to transfer data from one computer to another through a network, such as over the Internet. There are many FTP client and server programs.
Genuine toner cartridge:
Also known as OEM printer cartridges or original printer cartridges manufactured by the printer and photocopier manufacturers.
Generic toner:
Toner cartridges manufactured by other than the manufacturer of the laser printer or photocopier. Also known as compatible or remanufactured toner cartridges.
Gsm:
Grams per square metre (g/m²) is the measure used to express the density of paper or cardboard.
Ink cartridge:
Also known as an inkjet cartridge, is a replaceable component of an ink jet printer that contains the ink (and sometimes the print-head itself) that is spread on paper during printing. Each ink cartridge contains one or more ink reservoirs.

Inkjet printer:
A type of computer printer that reproduces a digital image by propelling droplets of liquid or molten material (ink) onto a page. Inkjet printers typically cost very little but are expensive to run because of the cost of replacement ink cartridges. Canon, Hewlett-Packard, Epson & Lexmark account for the majority of inkjet printer sales.
JPEG:
(pronounced JAY-peg) is a commonly used method of compression for photographic images. The degree of compression can be adjusted, allowing a selectable tradeoff between storage size and image quality. JPEG typically achieves 10 to 1 compression with little perceivable loss in image quality.
A computer printer that uses a laser beam to produce characters and uses laser toner particles to transfer to paper. Laser printers are available in monochrome (black & white) and colour models.

Also known as a toner cartridge is a consumable component of a laser printer & photocopier. Toner cartridges contain toner powder, a fine dry mixture of plastic particles, carbon, and black or other colouring agents that make the actual image on the paper. The toner is transferred to paper via an electro statically charged drum unit and fused onto the paper by heated rollers during the printing process.

MFC:

MFD:

MHz:
Most central processing units (CPU) are labeled in terms of their clock speed expressed in megahertz or gigahertz (109 hertz). The number of megahertz refers to the frequency of the CPU's master clock signal (“clock speed”). This signal is simply an electrical voltage which changes from low to high and back again at regular intervals.
Monochrome(mono) laser printers
A computer printer that uses black toner to print documents in black & white.

A system that allows designers to 'color match' specific colors when a design enters production stage, regardless of the equipment used to produce the color. This system has been widely adopted by graphic designers, reproduction and printing houses for a number of years.
Paper shredders:
An office machine used to cut paper into very fine strips or tiny paper chips.
PCL:
Printer Command Language, is a Page description language (PDL) developed by Hewlett-Packard as a printer protocol and has become a de facto industry standard.
PDF:
Portable Document Format is the file format created by Adobe Systems in 1993 for document exchange. PDF is a fixed-layout format used for representing two-dimensional documents in a manner independent of the application software, hardware, and operating system
Photocopier:
An office machine using light sensitive photographic materials to apply laser toner particles to reproduce written, printed or graphic work. Stand alone photocopiers have been replaced by multifunction printers that copy and scan with fax capabilities.
Only a limited number of stand alone photocopier machines are now available following the evolution of digital technology. Photocopiers have been replaced by multifunction printers, sometimes referred to as “all in ones”, which typically come standard with copier, printer and scan functions with optional fax machine capabilities.
Preventative maintenance:
A service programme at predetermined intervals to ensure equipment continues to operate to specification during it’s effective life.
Print audit:
A report of average monthly print volumes from each print output device, the cost of producing a page from each such print output device and the total monthly expenditure on print related costs.
Print coverage:
The percentage of a page covered by print, which determines the amount of toner or ink used. Higher coverage reduces the number of pages printed before the toner cartridge or ink cartridge needs replacement and increases the cost of printing each page.
A plan that bundles the capital cost of print output devices, toner, consumables and service to offer a fixed cost per page.

RAM:
Random access memory is a type of computer data storage. Today it takes the form of integrated circuits that allow the stored data to be accessed in any order, i.e. at random. The word random thus refers to the fact that any piece of data can be returned in a constant time, regardless of its physical location and whether or not it is related to the previous piece of data
Refurbished photocopier / multifunction printer:

Saddle stitch staplers:
Bookbinding tools designed to insert staples into the spine (saddle) of folded printed matter such as booklets, catalogues, brochures and manuals. Most high-end photocopiers and multifunction printers have optional saddle stitch units that fold and staple booklets automatically.

Software loaded on a server that notifies the administrator when any print device attached to the network reaches a predetermined level, e.g. 25%. Almost always expensive toner cartridges are held when a printer fails and is replaced. The software also helps eliminate the expensive practice of replacing toner cartridges before they’ve expired.
